A useful proposal should identify the project, building, floor, area basis, parking, fit-out condition, operating costs, taxes, payment schedule, validity and handover terms. Compare the complete occupancy cost and document revision rather than a headline rate.

Availability should be tied to a named building, floor or divisible office area and an issue date. Ask whether the space is immediately available, subject to construction, reserved, under negotiation or dependent on another condition. A campus-level vacancy statement cannot establish that a particular floor plate is available on the required date.

Reconcile every area used in the proposal. Record usable, carpet, built-up and chargeable figures where applicable, along with the method used to allocate common areas. If rent, consideration or maintenance is applied to a chargeable measure, compare alternatives on the same denominator and retain the supporting area statement.

Separate the commercial schedule into recurring, one-time, refundable and conditional items. Review base rent or purchase consideration, escalation, maintenance, utilities, parking, deposits, fit-out contributions, taxes, documentation charges and restoration obligations. State whether each amount is fixed, estimated or reconciled later, and identify the date on which it begins.

A leasing proposal should also define term, lock-in, renewal, notice, assignment, subletting, security deposit, commencement, fit-out period, rent-free treatment and delay consequences. A sale proposal requires its own title, payment, tax, registration and handover review. This site does not state which commercial structure is currently offered, so the applicable checklist must come from the dated proposal.

Operating costs deserve their own comparison. Ask what services are included, how common-area maintenance is budgeted and reconciled, how utilities are metered, whether parking attracts a separate charge and how after-hours operation is treated. Estimate total occupancy cost under the intended working pattern rather than comparing only the advertised base figure.

Test the proposal against the intended headcount and working model. Review workstation density, meeting demand, collaboration space, support rooms, reception, storage and future expansion before selecting a floor plate. The result should be checked against fire and life-safety limits, services capacity and the landlord's fit-out rules rather than treated as a simple area-per-person calculation.

Phasing can change the effective commercial outcome. If occupation will occur in stages, identify which services, access routes and common areas are operational at each milestone, who carries interim costs and what happens when a dependency is delayed. Define acceptance tests, defect handling and the evidence required before handover or charge commencement.

For competing Whitefield office options, normalise assumptions in a single comparison. Use the same term, escalation period, occupancy date, fit-out scope, headcount, parking ratio, utility demand and tax treatment. Keep incentives visible instead of netting them into an unexplained effective rate, and test how the total changes if occupation or fit-out timing moves.

Legal and technical reviews should connect rather than run as isolated exercises. The legal description of the space should match the plan and area statement; the commercial commencement conditions should match the technical handover; and the payment schedule should match the authorised recipient and invoice basis. Resolve differences in writing before approval.

Before making any payment, verify the recipient, bank details, authority, invoice or demand basis and refund or cancellation terms through an independent accountable contact. Retain the final proposal, area statement, specification, approval record and agreement draft as one revision-controlled package.
